TERMS & CONDITIONS: ACTIVEXPEDITION

Please note that terms and conditions are subject to changes at the discretion of the tour operator.

MAINLAND ECUADOR

BOOKINGS

To guarantee bookings we recommend you reserve a few months in advance, especially for trips during the high season months of June-August or November-December. Airfare is not included in any Activexpedition mainland tour but we suggest booking in advance.

PAYMENT

- A deposit of 30% of the total is due upon booking to guarantee any group or individual reservation.
- Full payment for the tour is due within 60 days prior start of tour date*
- For last-minute reservations made fewer than 60 days prior to departure, we require full payment upon reservation.
- If the Balance hasn’t been paid by the 60-day mark of start of services, Activexpedition reserves the right to cancel services. We will issue a final invoice when all services are confirmed (for third party suppliers, payment will be dealt with according to the suppliers policies).
- All our rates and fees are in US Dollars.
- Payments must be made in US Dollars by credit card, US bank transfer, international wire transfer, Wetravel, or as arranged by Activexpedition.

RELEASE OF LIABILITY

Activexpedition is not responsible for loss, damage, injury, accident, delay or irregularities which may be occasioned due to natural disasters, political upheaval, strikes, acts of government, war, criminal acts, weather, loss or misplacement of belongings, breakdowns in equipment and other force majeure.

Activexpedition reserves the right to refuse service to any person without reason. Activexpedition also maintains the right to remove participants from any tour in case of unruly or disruptive conduct, which negatively affects the safety and wellbeing of other participants without compensation.

Any disputes will be settled within Ecuadorian courts under the jurisdiction of Ecuadorian Law.

CANCELLATIONS BY GUESTS

- You have 72 hours to cancel with no fee unless the date of start of services falls within said 72-hour period.
- From after 72 hours, up to 90 days before departure, $100,oo handling fee will be applied.
- 89 to 60 days before departure, 20% of the total price of the trip will be applied.
- 59 to 30 days before departure, 50% of the total price of the trip will be charged.
- 29 days or fewer, 100% of the trip cost will be forfeited.

There may be additional fees associated with cancelling within the stated periods by hotel and transport providers. Clients are responsible for any cancellation fees incurred.

Travel insurance is mandatory. For any unexpected event that may affect your trip guests are strongly recommended to hire insurance.
- When airline tickets are included or purchased by Activexpedition by petition of guests are not refundable.

POSTPONING TRIP DATES

For fixed departures: Available postponement of traveling dates upon following conditions:
- Possibility of moving the trip date only once up to 60 days no less prior trip departure
- New departure date cannot be over a year from old departure date.
- Activexpedition will propose the available share departures options
Private departures: Postponement of traveling dates available upon specific conditions. Surcharges may apply. For every case, travelers shall refer to their travel specialist.

TRANSFERRING BOOKING´S OWNER

Considering that every case is different, option is available depending on booking status, we suggest to refer to your travel specialist.

PRICING

Pricing is as stated although prices are subject to change due to inflation and or government imposed fees.

THIRD PARTY SUPPLIERS

Services provided by third-party suppliers are subject to their own payment and cancellation policy. Please refer to the booking agent and/or third-party providers’ terms and conditions.

SINGLE SUPPLEMENTS

Single Supplement Costs: Generally this fee is not incurred as we match you with another person of the same gender in a twin room, but if you prefer not to share and have your own room, then there will be an associated fee equal to that of the complete cost of accommodation.

ITINERARY DISCLAIMER AND RESPONSABILITIES

Even though we at Activexpedition include a detailed itinerary, changes can be made by your guides, due to weather or safety reasons keeping in mind the best interest of clients. Please also note that none of the wildlife sightings mentioned on the itinerary are guaranteed. Changes may also be made to accommodations without notice but Activexpedition makes its best effort to maintain the level of accommodation, service, and comfort in the event of a change.

VISAS AND PASSPORTS

Make sure you check your visa and passport validity and requirements per country. It is important your passport is valid for at least 6 months before your travel. Activexpedition is in no way responsible for loss or interruption of service due to improper documentation

GENERAL LEVEL OF ACTIVITIES

Trekking will take place on varying terrain of dirt and rock; biking on single tracks, dirt roads and paved roads with light traffic; canyoning you can expect hiking on water and rocks, and also climbing into some small waterfalls. There will be a transport support for the majority of the activities in the case that someone wants to take a break or just wants to relax.

In Ecuador the weather can be vary greatly depending on which side of the Andes you are traveling to, so it is highly recommended to come ready for all kinds of weather. When they say “Ecuador, All in One Place” they mean it! The altitude determines the temperature and the higher you go the colder it gets. Don’t let the geographic location of the country fool you. Even at a mere 15,000 feet the temperatures can feel like those of a winter in the northern United States. The coastal lowlands in the western part of Ecuador are typically warm with temperatures in the region of 25 °C (77 °F). Coastal areas are affected by ocean currents and between January and April are hot and rainy. The weather in Quito is consistent with that of a subtropical highland climate. The average temperature during the day is 70 °F (21 °C), which generally falls to an average of 50 °F (10 °C) at night. The average temperature annually is 64°F (17.8°C). There are only really two seasons in the city: dry and wet. The dry season runs from June to September and the wet season is from October to May.

That being said, Participants are responsible for adequate preparation and revision of the appropriate clothing, and other advisories given to them.

INCLUSIONS AND EXCLUSIONS

Meals: Included meals are listed in the individual itineraries. Activexpedition is happy to cater to specific diets including but not limited to Vegan and Celiac. Any snacks or meals not listed in the itineraries can be purchased at additional cost to the client. Activexpedition is a NO/LOW waste tour operator and will provide participants with reusable bottles and filtered water throughout the trip.

Airfare: Airfare is not included in Mainland Ecuador Activexpedition. We are always happy to assist in airfare booking and airport transfers at additional cost to the client.

SUSTAINABILITY

We do our best to not produce any trash; we believe that recycling is not enough so we try to avoid using any plastic or materials that pollute our environment. Every day we work towards being a zero waste tour operator and our staff is well trained to leave the least impact possible in our service areas. We also work with local indigenous communities in the different regions. By doing so we are able to teach our guests about the rich culture Ecuador, all the while helping the people preserve their traditions and lands. By working directly with local peoples we are able to create a sustainable touristic income for the community.

GUIDES

All our guides have a professional background from the Tourism University; this means they have a degree in guiding, so their knowledge and skills when leading a group are top-notch. Each guide has many years of experience and they all have taken additional courses for other outdoor activities as well as have International First-Aid certifications. On top of all of this they are all extremely personable and strive to deliver travel experiences of a lifetime.

- From after 72 hours, up to 120 days before departure, $200,oo handling fee will be applied.
- 119 to 90 days before departure, 20% of the total price of the trip will be applied.
- 89 to 60 days before departure, 50% of the total price of the trip will be charged.
- 59 days or fewer, 100% of the trip cost will be forfeited.
There may be additional fees associated with cancelling within the stated periods by hotel and transport providers. Clients are responsible for any cancellation fees incurred.
- When airline tickets are included or purchased by Activexpedition by petition of guests are not refundable.

CANCELLED TRIPS BY ACTIVEXPEDITION

Activexpedition reserves the right to cancel any trip prior to departure for any reason without objection. The refund of all payments received shall release Activexpedition from any further liability. Activexpedition is not responsible for expenses incurred by trip members in preparing for a canceled trip (e.g., air tickets, visa fees, equipment, etc.) Any expenses incurred in the refund of money due to a cancellation, will be deducted from the total amount to be reimbursed.

Clients will be informed before original start of services of any cancellations.

Activexpedition highly recommends hiring travel insurance in order to protect their investment from any loss due to cancellation, personal injury, loss of belongings, trip interruption, etc.

Activexpedition reserves the right of cancellation of services due to natural disasters, social upheaval or other force major.

Activexpedition are by nature, physical and as such participants are heeded to select a trip based on their individual abilities. It is the sole responsibility of the participant to be in sufficient condition to undertake the activities listed in each itinerary.

The hiking is quite easy on mostly flat terrain along the coastline, the kayaking is on a calm area, the biking is also easy on sand and some gravel, and there will be a transport support for the majority of the activities in the case that someone wants to take a break or just wants to relax.
